A. Functions and Responsibilities:
Under the supervision of the Operations Officer and general guidance of the WHO Representative, the incumbent will perform the following duties:
- Assist staff members and their dependants by processing requests for visa, identity cards, driving license, accreditation and other necessary related documents in accordance with the requirement of the United Nations and the Country of the duty station;
- Makes hotel reservations for new international staff members, WHO visitors, consultants on duty travel and participants of WHO-supported training workshops and seminars;
- Maintains and updates inventory of office equipment and supplies and generate a yearly report;
- Responsible for stores management and ensure appropriate record of inward and outward supplies.
- Produces monthly administrative reports on vehicles movement, efficiency, vehicles maintenance and fuel consumption;
- Arranges for car rental when necessary and ensures availability of fuels for vehicles and generator;
- Keeps records on radio communication and brief staff and consultants on their use;
- Performs any other duties as required;

B. Knowledge/Qualifications
a) Knowledge and Skills
Maintains up to date knowledge on any changes to the standard operating procedures. The incumbent is also expected to maintain computer skills including skills in Global Management System, to the standards of the Organization by self study or in-house training. Knowledge of WHO rules, regulations, policies and practices would be an asset.
b) Education and Special Training Completion of secondary school with training of general administration practices with focus on Logistics, Procurement and Travel practices, theories and procedures.
c) Experience (length and nature)
At least 5 to 7 years of experience in administrative or clerical positions, preferably with several years experience in the UN..
d) Languages
Excellent knowledge of English and Swahili and local languages would be added advantage.
